The Challenge
The Ortus Group, a UK healthcare technology company, faced challenges in managing growth and the expansion of its services with the tooling currently being used by the organisation. Expanding their offering and diversifying their client base emphasised the need to facilitate cross-functional operations and derive better customer insights to increase opportunities for cross-sell. Working in a heavily regulated environment also drove the urgency around improving data quality, tracking capabilities and reporting functionalities. They had identified that they needed an ERP; however, with the number of solutions and vendors on the market, they required guidance to identify the most suitable choice based on their requirements.
The Solution
The team at Lancia Consult evaluated the tooling needs across the business, built a Request for Proposal (RFP) and managed the selection process. We ran workshops to gather functional requirements, meeting with individuals from across the business to better understand the cross-functional opportunities that we could leverage through the implementation of an ERP. Over the course of four weeks, we wrote and signed off over 300 requirements.
We identified a diverse range of potential solutions and vendors to reach out to, agreeing on the selection criteria and building out the final RFP to be sent out to vendors, which included a vendor questionnaire. We prepared an initial shortlist from the received proposals and invited them to demo sessions, where they showed the business key scenarios based on the requirements that would help us differentiate between solutions.
The Impact
Over a four-week period, we developed a comprehensive RFP and conducted a thorough evaluation of seven ERP solutions offered by thirteen vendors. From this, we shortlisted six proposals for detailed analysis.
We performed a full pricing comparison, assessing total costs for the implementation year and the subsequent two years. Each proposed architecture was reviewed to identify gaps and risks, and we provided strategic recommendations for system cutover and the decommissioning of legacy platforms.
Our final recommendation was based on a holistic assessment of solution fit, architectural robustness, and vendor credentials.
